Once a project moves into Active Development, the WpCircle Workspace becomes your central hub for communication, file sharing, and progress tracking. This guide walks you through the workspace layout and how to manage your project from start to finish.
1. How to Access Your Active Projects
To find your projects that are currently being worked on:
- Navigate to All Work in the left-hand sidebar.
- Click on the In Progress tab at the top of the screen.
- Locate your project card. You will see a high-level progress ring (e.g., “2 of 3 Done”) and the assigned professional’s name.
- Click the View Workspace button to enter the project command center.
2. Navigating the Project Workspace
The Workspace is divided into four main zones designed to keep your project organized:
A. Project Status & Details (Top Left)
- Work in Progress Banner: Displays the current status (e.g., Active Development).
- Project Details: A permanent record of your project scope and requirements. This ensures both you and the professional stay aligned on the original agreement.
- Assigned Professional: Shows who you are working with and their total hire price.
B. Progress & Milestones (Right Sidebar)
This sidebar is the “financial heartbeat” of your project:
- Securely Held: Displays the total project budget currently protected by WpCircle Escrow.
- Progress Ring: A visual indicator showing what percentage of the total project is complete.
- Milestone Timeline: * Released (Green): Completed phases where payment has been sent. You can click “Submission Details” to review past deliveries.
- Unfunded (Blue): Upcoming phases. When a professional completes a stage, you will see the Fund Next Milestone button here to keep the project moving.
C. Project Files (Bottom Left)
All assets—logos, code snippets, site credentials, or documents—are stored here.
- Centralized Storage: No more searching through long chat threads for a file.
- Upload: Use the “Upload” button to share new assets with your professional at any time.
D. Messages & Chat (Bottom Right)
This is your direct line to the professional.
- Real-time Chat: Discuss daily updates, clarify requirements, or give feedback on drafts.
- Expand View: Click “Expand Full Chat” to see the full history of your conversation in a larger window.
3. Tracking Progress & Milestones
WpCircle uses a sequential milestone system. You can track exactly where your project stands by looking at the Milestones list:
- Work Begins: The status shows “Active Development” once a milestone is funded.
- Reviewing: When the pro finishes, they submit work. The stage in the sidebar will highlight their “Submission Details” for your approval.
- Completion: Once you approve, the stage is marked as “Released.”
- Next Step: You then click Fund Next Milestone to authorize the start of the next phase.
4. Best Practices for Project Management
- Use the Sidebar to Stay Focused: Always check the Milestone list to see what is currently “In Progress” versus “Awaiting Funding.”
- Keep Files Organized: Encourage your professional to upload final deliverables to the Project Files section rather than just pasting links in the chat.
- Settings & Adjustments: If you need to review your overall project configurations, use the Project Settings button in the top right corner of the workspace.
- Communicate Often: Even a quick “Looks good, proceeding to the next step” in the chat helps keep professionals motivated and timelines on track.
